User guide for creating park assets or inspections inside of Field Maps and Survey123

Login Process

  • All ArcGIS applications use the same username and password
    • Username format is case-sensitive and generally is first, middle name intials and last name + FC
    • Ex. Daniel C Wade username is DCWadeFC
    • You are responsible for your own password, it is not a county-managed or county-generated password
  • On the sign-in pages there are two options. Select "Sign In with ArcGIS Online"
  • After sign-in you may see a prompt saying "Your email has not been verified". You may select "Skip for now" at the bottom of that screen
    • You may need to scroll down to see the "Skip for now" option

Create an Asset Inspection on an Existing Asset

  • Open ArcGIS Field Maps on your phone or iPad and select "Parks and Grounds Field Map"
  • Select the asset point that you are going to inspect
    • NOTE: For playground inspections, select the playground POLYGON instead of the playground POINT to perform a full playground inspection
  • Choose "Asset Inspection" and then "Add" to begin an inspection form
  • Fill out relevant inspection fields and take/add any necessary photos. Select "Submit" to complete the inspection form

Create a Work Order on an Existing Asset

  • Open ArcGIS Field Maps on your phone or iPad and select "Parks and Grounds Field Map"
  • Select the asset point that requires a service request
  • Choose "Create service request". This will open a work order form in ArcGIS Survey123
  • Fill out relevant inspection fields and take/add any necessary photos. Select the checkmark in the bottom right-hand corner to submit the work order

Create a New Asset Feature

  • Open ArcGIS Field Maps on your phone or iPad and select "Parks and Grounds Field Map"
  • Select the "+" icon in the bottom right-hand corner of the map
  • A halo will appear on the map showing your current location, you can either add the new asset at your location or use your finger to pan across the map add an asset at a different location
  • Use the "Filter" search bar to select the asset type
    • Will begin to filter as you type the first few letters of the asset type
  • Select the asset type, and you will see a new point added inside of the map halo
  • Fill out any relevant asset information. Select "Submit" to complete to create the asset

Create a Work Order Without Attached Asset

  • Open ArcGIS Survey123 on your phone or iPad and select "Parks Work Orders"
  • Choose "Collect" to begin a new work order
    • "Sent" will show any previous work orders that you have created
  • At the top of the form, verify that the Map Pin is in the correct location for the work order. If not, click on the map to expand and adjust the pin's position
  • Fill out relevant inspection fields and take/add any necessary photos. Select the checkmark in the bottom right-hand corner to submit the work order

Viewing Assignments in ArcGIS Workforce

  • When a Work Order is assigned to you, it is trackable inside of the Workforce application
  • Open ArcGIS Workforce and locate the "Parks and Grounds Assignments" map
    • It is good practice to "Reload" the map when you open it each day to ensure that data is in sync with your iPad/mobile device (1st screenshot)
  • When you open the map it will zoom to your current location, and open your "To Do" window on the left. This shows any incomplete work orders assigned to you
    • You can view completed work orders by tapping "To Do" and toggling on "Completed"
  • New work order assignments will sync automatically every 1 minute, however, you can manually sync by clicking the "Sync" button in the top right corner of the map (4th screenshot)
    • Note: Auto sync only triggers when your status is set to "Working" (5th screenshot)
    • Ensure that Auto Sync is always toggled "On"
  • You are also able to view other workers and their locations by clicking the worker initials on the map

ArcGIS Workforce functionality
