Working with Groups in ArcGIS Online
Sharing Web Maps, StoryMaps. and Content with Groups
ESRI ArcGIS Online makes it easy for students to collaborate on group projects with the use of GROUPS. Here are frequently asked questions and things to consider when working with Groups.
Getting Started with Groups
Step One: Decide who is going to be the Group Owner and/or the Web Map or StoryMap Owner.
One person on the team must assume the role of group owner. This person has the most responsibility and power over the group and its items. One person on the team must also be the Web Map and/or StoryMap Owner. This person will have the most responsibilities regarding publishing and sharing the Web Map and/or StoryMap.
The Group Owner and the Web Map or StoryMap Owner can be different people, but for simplicity, I suggest one person assume both roles.
The owners must be the ones to:
- Create the group (group owner)
- Add group members to the group (group owner)
- Start a blank Web Map and share it with the group (Web Map Owner)
- Publish the Web Map when it's complete (Web Map Owner)
- Share the Web Map with appropriate audiences. (Web Map Owner)
- Start a blank StoryMap and share it with the group (StoryMap Owner)
- Publish the StoryMap when it's complete (StoryMap Owner)
- Share the StoryMap with appropriate audiences. (StoryMap Owner)
Creating a Group in ArcGIS Online
If you are going to work collaboratively on a Web Map or a StoryMap (or anything in ESRI's suite of tools), the group must be set up first so everyone has access to edit the content shared with the group.
Only the appointed Group Owner needs to create the group.
Log into ArcGIS Online
ArcGIS Online is the central point to manage everything ESRI ArcGIS for yourself or groups you are working with.
Sign into to ArcGIS Online by going to:
- Go to ArcGIS Online: https://www.arcgis.com/index.html
- Click on Sign In
- Click Sign in with Your ArcGIS Organization's URL
- Enter tuftsgis in the text box so the full domain reads tuftsgis.maps.arcgis.com
- Click Tufts University
- Check the Box: Remember this URL, if using a personal computer.
- Use your Tufts username and password to log in
- Press sign in and go through Duo Steps

Create a Group
1.) Go to the Groups Tab. This is where you can create new groups but also find any groups you are a part of.
2.) Click on Create Group in the top left corner.

Fill out the Group Information
1) Give the group a good name and summary. (Note, this screen shot is for a different classes group example. Use info from your course)
2) Include any tags to help you search for your project later or organize your content.
3) Upload an image, if you wish (not necessary but can help quickly find a group).

Fill out Group Membership Info
Use the same selections as the screenshot to the right when creating the group.
Fill out the Group Designations
This is the most important section.
Make SURE to turn on the radio button for "Shared Update". This is how you make the content within the group editable by all members.
IF YOU MISS TURNING THIS ON, you can NOT edit it after the group is made. You would need to create a brand new group with this option selected if you made this mistake.
Press Save.
Group Overview
Once you finish creating the group, you will be directed to the Group Overview page.
This is where you access any content shared with the group, invite members to the group, and add content to the group.
Currently, you are the only member in the Group and there are no items shared with the group. Let's start by inviting your group members.
Inviting People to your Group
Once the group is created, you can now add people to the group.
IMPORTANT: You can only add group members who have ALREADY signed into ArcGIS Online at least one time (so there is an account in their name). If you can not find a person, they likely have never logged in before and will need to do that first.
1) Click on Invite Members.
Search for your Team Members
Since we use our Tufts Usernames (UTLNs) to log in, you might need to search by a users UTLN to find them if you can not find their name.
1) First, try searching for a team members name. If it does not show up, search for them by their ULTN (i.e. cmekle01).
2.) Click the check mark to select the user and press Add members to group.
Note: You can add people at once by checking them and then searching for the next person and checking them. In the green box, it will tell you how many members are currently selected.
3.) Repeat this process until all members are added to the group.
View your Group Members
Once you are done adding members, it will bring you back to the Overview Group page.
To confirm all the members have been successfully added, click on Members. Now you can see the list of everyone in the group.
Add Content to the Group
Now that your team has a Group created and everyone has been added, it's time to add Content to the group, including a Web Map, Story Map(s), and any Web Maps you plan on embedding in the Story Map. Any Content that you want everyone in the group to be able to edit should be shared with the group.
Decide who in the group will be the Web Map and/or StoryMap owner.
The Web Map and/or StoryMap owner will be responsible for:
- Starting the Web Map and/or StoryMap and sharing it with the group
- Publishing the Web Map and/or StoryMap when it's complete
- Sharing the Web Map and/or StoryMap with appropriate audiences.
Now, there are two options to proceed:
- If someone in the group has already started a Web Map and/or StoryMap, they can share it with the group. They are then considered the Web Map and/or StoryMap Owner!
- If the Web Map and/or StoryMap owner has NOT already made a Web Map and/or StoryMap, they will start a blank Web Map and/or StoryMap and add it to the group.
Option 1: A Web Map and/or StoryMap has already been started and it needs to be added to the Group.
If someone in the group has already started building a Web Map and/or StoryMap and they want to share it with the group, they can do. They are then considered the Web Map and/or StoryMap Owner.
- Go to ArcGIS Online and login if needed.
- Go to the groups tab and find your team's group and click on it.
- In the Groups Overview, click on Content.
- Click Add Items to Group
- Search for your Web Map and/or StoryMap if needed but if you don't have a lot of content, it will show up quickly.
- Check the content (Web Map and/or StoryMap) you want to add to the group.
- Press Add Items.
Option 1: See the Content added to your Group
When you are done adding content, you will land back on the Content group page.
You should now see the Web Map and/or StoryMap listed in Content and on the Overview page.
The owner of the content will be listed under the item, which is helpful if you forget who the "owner" is.
Option 2a: Create a Blank StoryMap and Add it to the Group
If no StoryMap has been started, the appointed StoryMap owner will start a blank map and add it to the group.
- To do so, the StoryMap owner should go to https://storymaps.arcgis.com/
- Log in using the same method - you will now see all the StoryMaps you have ever made (if any).
- Click on New Story --> Start from Scratch.
Option 2a: Your Blank StoryMap
You will land on a blank StoryMap.
I recommend giving it a name, so it is easy to find and identify (but it's not totally necessary).
Notice this is a Draft and will remain a draft until the OWNER publishes it when complete. Right now, only the owner can see the Storymap since it has not been shared with the group yet.
Notice how it also saved automatically and will continue to do so.
Option 2b: Create a Blank Web Map and Add it to the Group
If no Web Map has been started, the appointed Web Map owner will start a blank map and add it to the group.
- To do so, the Web Map owner should go to https://www.arcgis.com/index.html
- Log in using the same method - you will land on your personal overview page.
- Click on Map --> to open an untitled map.
Option 2b: Your Blank Web Map
You will land on an Untitled Web Map.
From the left menu, click on Save and Open, then Save as, and give it a name.
You can use this process to create a New Map or Open an existing map from the same Save and Open menu.
Remember that the map viewer does not save automatically. Be sure to regularly go to Save and Open > Save to save your progress.
Right now, only the owner can see the Web Map since it has not yet been shared with the group.
Option 2: Share your Blank Web Map and/or StoryMap with the Group
Now that a Web Map and/or StoryMap exists, you will share it with the group so all the team members can access and edit it.
- Go to ArcGIS Online and log in if needed.
- Go to the Groups tab, find your team's group, and click on it.
- In the Groups Overview, click on Content.
- Click Add Items to Group
- Search for your Web Map and/or StoryMap if needed, but if you don't have much content, it will show up quickly.
- Check the Box for the content (Web Map and/or StoryMap) you want to add to the group.
- Press Add Items.
Option 2: See the Content added to your Group
When you are done adding content, you will land back on the Content group page.
You should now see the Web Map and/or StoryMap listed in Content and on the Overview page.
The owner of the content will be listed under the item, which is helpful if you forget who the "owner" is.
Add Additional Content
If there are any web maps or specific data sets you want to share with the group as well, select them from your content list. If you plan on embedding any of your web maps WITHIN the StoryMap and you want you team members to be able to edit the web maps, you will need to share them too.
For example, if I wanted to add the World Plastic Pollution web map I made (or that my team mates made), I would press "Add Items to Group" and select those Web Maps as well.
You can see what type of content your items are (i.e. Web Map, StoryMap, etc) next to the check box.
Access & Build your Web Map and/or StoryMap
Now that your Group has been created, team members have been added to the group, and a Web Map and/or StoryMap has been shared with the group, anyone in the group now has access to contribute content and edit.
Access your Group's Web Map and/or StoryMap
There are two ways to access your groups content depending on the type of content.
For the Web Map or Story Map
- From ArcGIS Online: https://www.arcgis.com/index.html
For the Story Map Only
- From the StoryMaps Homepage: https://storymaps.arcgis.com/stories
Access your groups Web Map and/or StoryMap from ArcGIS Online
- Go to https://www.arcgis.com/index.html
- Sign in following the instructions above.
- Click on the Groups Tab.
- Find your group and click on View Details.
- Find the Web Map or StoryMap under Content and click on the title.
- That will bring you to this overview page for the Web Map or StoryMap.
- Click on Open in Map Viewer for the Web Map or Edit Story for the StoryMap.
- You are now redirected to either the Map Viewer or the StoryMaps website, where you can edit.
Access your groups StoryMap from StoryMaps Homepage
- Go to https://storymaps.arcgis.com/stories
- Sign in with the same instructions as signing into ArcGIS Online.
- Now, you are seeing any storymaps you have created.
- If you are the owner of the storymap, you will see it here under "My Stories"
- If you were not the owner, click on "My Groups". Now you should see it there.
- If you do not see it, it either has not been shared with the group or you are not in the group.
- Click on the name of the StoryMap and it will open up in the builder.
Building your StoryMap
Now that everyone has access to edit or add content to the group, review the instructions on How to build a StoryMap or use the additional StoryMap resources below.
Publish and Share your Web Map and/or StoryMap
Once your Web Map and/or StoryMap is complete and the design is finalized, you are ready to Publish and share the Web Map StoryMap with the correct audiences.
Publish & Share your Group's Web Map
The Web Map Owner should follow the instructions in the Plastic Pollution in the Ocean Lab Instructions: Share & Reopen the Map .
Publish & Share your Group's StoryMap
The StoryMap Owner must be the one to publish the StoryMap.
When your StoryMap is COMPLETE and ready to be shared, then you should click Publish. You should wait until it is complete as possible, as once it is published, it is "live".
You can continue to edit after the StoryMap is published, but the edits won't be live until you re-publish the StoryMap. This allows you to work in the background of a live, published StoryMap with out the edits being implemented until you're ready.
Publish & Share your StoryMap
The StoryMap owner must be the one to publish the StoryMap.
Fill out the the publishing options.
Set the share level:
- If you keep it as Private, only you and your group can see the content.
- If you change it to organization, everyone in Tufts can view the live StoryMap (but can't edit it)
- If you change it to public, the link is not publicly available. to everyone.
You should also see that your StoryMap is shared with your group. This is another place to share the StoryMap with relevant groups.
Press Publish when done.
Editing after it's Published
Group members can continue to edit the StoryMap after the StoryMap is published, but the edits won't be live until you re-publish the StoryMap. This allows you to work in the background of a live, published StoryMap with out the edits being implemented until you're ready.
You can see if there are edits made after it has been published, as you will see it says "unpublished edits".
When ready, the OWNER must re-publish the StoryMap for the edits to be live.
Unpublishing your StoryMap
If you prematurely published your StoryMap and need to make a lot of edits, it's best to unpublish the StoryMap to continue editing it.
This is only best if you have a LOT of work to do, not small tweaks or edits later.
StoryMap URL
When you are done with your StoryMap and it is published, the URL of the live StoryMap is the final URL.
You can copy it from the browser when viewing the live StoryMap.
