Updating Addresses in MAVEN

This document will give you more information on how and when to update an address.

Background

Why are addresses in MAVEN important? You may discover while doing your case investigation that a case actually lives in another city or town. Cases in MAVEN are only visible to those who have access to that town so you will need to change the address in order for the case to be visible by the new jurisdiction. Changing address is a 2 step process detailed below. Keep in mind that if you need to change an address, and the new address is outside of your jurisdiction, you will lose access to the case (unless you created the event or it has already been shared with you). If you need to keep access to the case, you will need to share the case with yourself before you change the address.

Which address should I use? A case's address (or 'Official Address' as reflected in the Demographic Question Package) in MAVEN should be determined based on where they spend the majority of the year. The Official Address ultimately dictates which jurisdiction will have access to the event. Follow Steps 1 and 2 as described below to update the Official Address.

In some instances, a case may be staying at a temporary address or may have moved out of state. See the Additional Scenarios tab for details on how to update the address for these types of cases.

How to Update Addresses

Make sure you add a note including the reason for adding an address, prior to address change.

Updating an address in MAVEN is a 2 Step Process! In order for a address to be fully moved to the correct jurisdiction, both steps below must be completed. Remember that if you are moving a case outside your jurisdiction, you will need to share the case with yourself before you change the address. Step 1: Update the address in the Participants Tab

Open the event and click on the Participants Tab. The address reflects where the case lives or the individual is temporarily residing residing

Enter the updated address information for your event and then click the Save button to save you changes.

Please keep the Address Type default as "Home". To view the new address shown in the event click back on the Participant Tab.

Step 2 - Updating the address in the Demographic Question Package

Navigate to Event Data and click on the Demographic Question Package.

Click "Select Official Address".

A list of addresses will appear. Click 'Select as Official Address' for the new address.

Additional Scenarios

Temporary Addresses: In some instances, a case may be temporarily staying in jurisdiction that is outside of their Official Address and you may want to make note/notify others of the temporary change. If so, complete ONLY Step 1 as described above -- update only the address in the Participants Tab and keep the address in the Demographic Question Package as the permanent address. Once they return, you can revert the address in the Participants Tab back to reflect the Official Address. In addition:

If the temporary address is within the state, please also notify the jurisdiction by a Task or by contacting the jurisdiction directly using information in the town’s Communication Event.

If the temporary address is out of state and you would like to send the state a notification, please call 617-983-6800.

Out of State Addresses: If you determine that an Official Address should be out of state, please complete both Steps 1 and 2 as described above to reflect the updated state. Once both addresses have been updated, our team will automatically send out an interstate notification.
